Job Description

  • Coordinate with hotels to ensure smooth check-in for all participants, including group bookings and special requests.
  • Finalize payment arrangements with hotels, including invoicing and reconciliation.
  • Assist event management teams in finalizing vendor invoices, ensuring accuracy and timely payment.
  • Coordinate with vendors (e.g., caterers, AV providers, transportation) to confirm service delivery schedules and address any potential issues.
  • Develop and maintain detailed event schedules and timelines.
  • Provide on-site support during the event, including managing logistics (e.g., room setups, equipment setup, participant registration).
  • Address any unforeseen issues or challenges that may arise during the event promptly and effectively.
  • Ensure the smooth flow of events and that all logistical needs are met.
  • Provide excellent customer service to all participants.
  • Conduct post-event evaluations and gather feedback from participants.
  • Prepare event reports summarizing key outcomes and identifying areas for improvement.
  • Maintain accurate records of all event-related activities.

Job Specification:

  • Bachelor’s Degree in Tourism, or a related field from the College of Tourism and Hotels.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in all aspects of work.
  • Excellent communication and interrelationship building skills. 
  • Proven ability to work independently and as part of a team.
  • Flexibility to work irregular hours, including evenings and weekends, as needed.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
