Job Description
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for meetings and presentations.
- Handle confidential information with discretion and professionalism.
- Act as the primary liaison between the CEO and internal/external stakeholders, including board members, clients, and partners.
- Draft and proofread emails, correspondence, and other communications on behalf of the CEO.
- Coordinate and facilitate internal and external meetings, ensuring all logistics are in place.
- Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation.
- Prepare detailed travel packs with agendas, meeting notes, and necessary documents.
- Assist the CEO in tracking and managing key projects, ensuring deadlines are met and progress is communicated effectively.
- Conduct research and compile data to support decision-making and strategic initiatives.
- Ensure the CEO’s office is organized and operates efficiently.
- Manage expenses, invoices, and budgets related to the CEO’s office.
Job Specification:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proven experience (2+ years) as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to handle confidential information with integrity and discretion.
- High level of professionalism and emotional intelligence.
- Strong problem-solving skills and the ability to work independently.
- Flexibility to adapt to changing priorities and work outside regular business hours when required.
- Proactive and self-motivated with a strong sense of initiative.
- Detail-oriented with a commitment to accuracy.
- Resilient and able to thrive in a high-pressure environment.
- Experience in a corporate or fast-paced environment is preferred.
