Job Description

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, presentations, and reports for meetings and presentations.
  • Handle confidential information with discretion and professionalism.
  • Act as the primary liaison between the CEO and internal/external stakeholders, including board members, clients, and partners.
  • Draft and proofread emails, correspondence, and other communications on behalf of the CEO.
  • Coordinate and facilitate internal and external meetings, ensuring all logistics are in place.
  • Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation.
  • Prepare detailed travel packs with agendas, meeting notes, and necessary documents.
  • Assist the CEO in tracking and managing key projects, ensuring deadlines are met and progress is communicated effectively.
  • Conduct research and compile data to support decision-making and strategic initiatives.
  • Ensure the CEO’s office is organized and operates efficiently.
  • Manage expenses, invoices, and budgets related to the CEO’s office.

Job Specification:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Proven experience (2+ years) as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Ability to handle confidential information with integrity and discretion.
  • High level of professionalism and emotional intelligence.
  • Strong problem-solving skills and the ability to work independently.
  • Flexibility to adapt to changing priorities and work outside regular business hours when required.
  • Proactive and self-motivated with a strong sense of initiative.
  • Detail-oriented with a commitment to accuracy.
  • Resilient and able to thrive in a high-pressure environment.
  • Experience in a corporate or fast-paced environment is preferred.
